This policy explains how Rapport Studio collects, uses, and protects data when you use our website, apps, and meeting intelligence features.

    Information we collect

    We collect account details, meeting metadata, call transcripts generated from supported integrations, the full content of client emails (including message bodies, both historical and ongoing) when you connect Gmail, usage information, and support messages. We only collect the information needed to provide and improve the service.

    Google user data we access

    When you choose to connect your Google account, and only with your explicit authorization, Rapport Studio accesses the following Google user data. Gmail (scope gmail.readonly): read-only access to your Gmail messages, including their full content, so we can analyze the email conversations between you and your clients, score the health of each client relationship, show the specific evidence behind a risk status, and alert you when an account is at risk. To do this we store the content of emails exchanged with your known clients — including earlier, historical emails with those clients, not only messages received after you connect — so the full relationship history is available in the product. We never send, modify, delete, or move any email, and we only process and store threads that match your known client domains. Google Calendar (scope calendar.readonly): read-only access to your calendar events so we can identify client meetings and associate them with the right client. Basic profile and email address (openid, email, profile): to identify your account and sign you in. You can disconnect Gmail or your Google account at any time from your integration settings, which stops all further access and permanently deletes the email content we had stored together with the scores derived from it.

    How we use information

    We use data to deliver client relationship and meeting analytics, generate summaries, power risk alerts, coach account managers, improve product quality, provide support, and maintain security and billing operations. Google user data (Gmail and Google Calendar) is used only to provide the user-facing features described above.

    How we share information

    We do not sell personal data or Google user data. We may share information with service providers that help us operate the platform, such as hosting, authentication, transcription, and AI processing partners used to generate summaries and scores, and payment and analytics partners for our own website. These providers are bound to use the data only to provide services to us.

    Limited Use of Google user data

    Rapport Studio's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically: we use Gmail and Google Calendar data only to provide and improve the user-facing features described in this policy; we do not sell this data; we do not use or transfer it for advertising or any purpose unrelated to those features; we do not allow humans to read it except where you give consent for specific messages, where necessary for security or to comply with applicable law, or in aggregated and anonymized form for internal operations; and we do not use Google user data to develop, improve, or train generalized or non-personalized artificial intelligence or machine-learning models.

    How we protect sensitive data

    We protect sensitive data using HTTPS/TLS in transit, server-side access controls, and restricted internal access on a need-to-know basis. OAuth tokens, API keys, and other credentials are kept server-side and are not exposed to the browser. We limit access to Gmail and Google Calendar data to the minimum needed to provide the features you enabled, and we retain data only for as long as needed for the service or legal obligations.

    Data retention and controls

    We retain data only as long as needed for the service, legal obligations, and legitimate business purposes. You may request access, correction, or deletion of your data where applicable. You can disconnect Gmail or your Google account at any time from your integration settings. Disconnecting Gmail stops further access, removes the stored authorization, and permanently deletes the email content we had stored together with the scores and alerts derived from it; this deletion happens automatically as part of disconnecting and cannot be undone.
